Session 2 — Finding the Right AI Use Case: Workflow, Data & Readiness

TRU Campus - Arts & Education Building - Room AE262

Session Overview

Not every operational challenge should become an AI project.

After identifying an opportunity, the next step is determining whether it's actually ready for AI. Many organizations jump straight to technology without evaluating the workflow, ownership, data quality, risk, or feasibility of the underlying process.

This clinic provides a practical framework for assessing whether your opportunity is a strong AI candidate, what conditions need to be in place before moving forward, and where workflow improvements may need to happen before automation is considered.

By the end of the session, you'll know whether your opportunity is ready to advance to implementation planning—or whether additional groundwork is needed first.

What to Expect

Bring your completed AI Opportunity Canvas.

During this hands-on working session, you'll evaluate your selected opportunity using practical assessment tools, workflow mapping exercises, and readiness frameworks.

You'll pressure-test your opportunity against key criteria including process maturity, ownership, data quality, business impact, and risk. Through structured exercises and peer feedback, you'll determine whether your opportunity is ready to move forward, needs refinement, or should be set aside.

Expect discussion, collaboration, and practical application—not theory.

What We'll Cover

• Mapping your current-state workflow and identifying friction points

• Designing a future-state workflow and defining success

• Assessing process maturity and ownership

• Evaluating data quality, availability, and readiness

• Understanding privacy, security, and compliance considerations

• Applying the AI Opportunity Scorecard to assess feasibility

• Determining whether your opportunity should be automated, augmented, assisted, or postponed

Key Exercise

Participants will complete the AI Opportunity Scorecard, evaluating their selected opportunity across six dimensions:

• Clarity

• Repeatability

• Ownership

• Data Quality

• Business Impact

• Human Risk

The result will provide an objective assessment of whether the opportunity is ready for AI implementation.

Takeaways

You'll leave with:

✔ A documented current-state workflow

✔ A future-state workflow vision

✔ A completed AI Opportunity Scorecard

✔ A readiness assessment

✔ A validated AI use case—or a clear understanding of what needs improvement before proceeding

Your Action Item

Complete an AI Readiness Assessment for your selected opportunity and prepare a draft implementation recommendation.

This will become the foundation for the implementation blueprint developed in Session 3.

Why It Matters

Many AI initiatives fail because organizations jump from an idea directly to implementation without validating whether the process, data, and business conditions are actually ready.

This clinic helps you avoid costly mistakes by evaluating opportunities through a practical, structured lens before investing time, money, or resources.

By the end of the session, you'll have confidence in whether your opportunity is ready to move forward—or clarity on what needs to happen first.

End-of-Session Outcome

Participants will leave in one of three categories:

🟢 Green Light
Ready for implementation planning.

🟡 Yellow Light
Promising opportunity, but workflow, data, or readiness improvements are needed first.

🔴 Red Light
Not currently a strong candidate for AI implementation.

This assessment becomes the bridge into Session 3, where participants will develop a practical implementation blueprint and 30-day action plan.
