Practical field lab for construction and engineering teams to test AI on RFI and variation workflows, assess risks, and map next steps.
About this Event

AI can help reduce administrative workload, but in construction and engineering, it needs to work within clear safety, approval, and document-control boundaries.

RFIs, variations, controlled documents, and approval processes can take up significant time and create pressure across project teams. This practical Field Lab gives construction firms, engineering consultancies, and trades businesses a structured way to explore where AI could support these workflows without replacing professional judgement or established responsibilities.

You will examine common workflow pressures, explore where AI can assist, and test practical scenarios using fictional RFI and variation material. The session focuses on practical AI integration, workflow improvement, risk management, document control, and responsible use.

Rather than simply discussing what AI could do, you will leave with a clearer view of which opportunities are worth testing and what should remain firmly under human control.

Who this is for

This Field Lab is suited to:

  • Construction firms and contractors
  • Engineering consultancies
  • Trades and specialist businesses
  • Project and contract teams
  • Document control and administration staff
  • Office and operational teams supporting construction projects

A mix of site and office participants is encouraged.

What we will do together
  • Map key pressures: Identify where administration, documentation, scheduling, margin, and compliance create opportunities for improvement.
  • Set practical boundaries: Clarify where AI should not replace WHS responsibilities, professional sign-off, approval authority, or controlled-document processes.
  • Explore RFI and variation workflows: Test practical AI support using fictional project materials.
  • Assess opportunities: Score potential use cases based on value, feasibility, and risk.
  • Plan the next step: Prioritise an opportunity and develop a practical 30-day action plan.

What you will take home

You will develop practical resources during the session, including:

  • A construction and engineering problem brief
  • A controlled-document and approval matrix
  • A tested AI workflow canvas
  • A scored opportunity map
  • A practical 30-day AI integration plan

Good to know

This is a practical, sector-focused session, not a general introduction to AI.

All hands-on activities use fictional RFI and variation examples rather than confidential project or client information. Existing WHS duties, professional judgement, contractual authority, and document-control requirements remain with the appropriate people.

No advanced technical experience is required. Bring your knowledge of the workflows and administrative challenges your team deals with every day.
