2024 HUG National Meeting - Exhibitor & Sponsorship Opportunities

HawkSoft User Group (HUG) invites YOU, our valued partner, to support our 9th Annual HUG National Conference! We expect about 250-450 attendees/agents. HawkSoft is one of the fastest growing agency management system vendors in the nation. This is a wonderful opportunity to meet with your customers and potential customers face-to-face.

The 2026 HawkSoft User Group National Conference will be taking place April 8-10 (exhibit hours -- all day on April 9 & 10), at the Loews Arlington Hotel & Convention Center, in Arlington, TX . We are reaching out to you to ask for your sponsorship of this event. We know that you are planning your 2026 budgets and hope that you will include our event in this planning.

Attendees for this meeting are Independent Insurance Agencies in the region, who utilize HawkSoft in their offices. HawkSoft CMS system changes with every release. A large part of the meeting will focus on the HawkSoft 6x (Cloud) based platform.

THIS IS TENATIVE FOR NOW (MORE INFO COMING OUT IN EARLY 2024)

3-8pm Wednesday - exhibit hall set up

6:30-8:30pm Wednesday - welcome reception (all vendors welcome)

8am-5pm Thursday - Conference meetings and exhibit hall open (specific hours forthcoming)

8am-5pm Friday - Conference meetings (till 5pm) and exhibit hall open (till 1:30pm)

1:30pm Friday - exhibit hall tear down (tentative for now)

Cost to Exhibit

$5,000 - 10x10 booth EXHIBITOR - includes a 10x10 booth, and 3 rep tickets.

$17,500 - TITLE/PLATINUM SPONSOR - includes a 10x20 booth, 5 minute general session speaking spot on Thurs or Fri, all conference materials will include your logo and/or name, you can have up to 5 rep tickets, a possible breakout session with other vendors (TBD), host of the Welcome Reception on Wednesday night, and your logo on the conference t-shirt for all attendees) - 2 of these platinum spots for 2026.

$10,000 - PREMIER SPONSOR - includes 10x20 booth, an extra rep ticket (4 total), a possible slot in a breakout session (TBD), as well as being a the host of one of the meals (TBD) - we have 2 of these available for 2026.

PLEASE NOTE: you MUST be an exhibitor/sponsor in order to attend the conference, we are NOT offering "vendor attendee only tickets".

HOTEL SLEEPING ROOM ACCOMODATIONS:

There is a block of rooms reserved for our event at a discounted price. Must book rooms by March 16, 2026 to guarantee the rate, or until the hotel is sold out (whichever is sooner). We typically sell out, so book early!

HUG RATE at the Loews Arlington: $ 229/night plus fees/taxes. This rate will be honored for 3 days before the event and 3 days following the event. Hotel cancellation policy is 48 hours in advance.
