Event Date, Time, and Location

• Saturday, November 22, 2025
• 9:00 am – 3:00 pm
• Northgate Lions Seniors Recreation Centre, 7524-139 Avenue

Registration & Fees

• Table Rental: $50 per 8’ table (maximum of 2 per vendor).
• Registration Opens: October 14 for NESA Members (in-person or by phone) and October 16 for Non-Members (in-person, by phone, or online)

• Payment Methods: Cash, cheque, debit, or credit.
• Deadline: November 7, 2025 (or until full).
• Refund Policy: Refunds are available only if the event is canceled or if a replacement vendor is secured from the waitlist. Notify organizers as soon as possible if unable to attend.

Setup & Takedown

• Vendor Access: Doors open at 7:00 am on event day.
• Setup Deadline: All tables must be fully set up by 8:30 am.
• Optional Early Setup: Friday, November 21, 3:00 pm – 7:00 pm. Vendors must cover tables if setting up early.

• Takedown: Vendors must remain set up until 3:00 pm. Early pack-up is not permitted and may affect future participation.

Vendor Guidelines

• Handcrafted Only: All items must be 100% new and handmade. No commercial, resale, or mass-produced goods.
• Homemade Baked Goods: All items must be 100% fresh and homemade. Labelled with all ingredients and properly stored. Please follow these guidelines found here: Low-risk home-prepared foods | Alberta.ca
• Duplicates: Multiple vendors may sell similar products.
• Table Presentation: Floor-length coverings are required (to hide boxes/materials). Keep boxes and storage under your table. Floor space in front of tables must remain clear for safety and fire regulations.

• Displays: Allowed only if they fit on/behind your table and do not interfere with others or block walkways. No additional furniture permitted beyond your table space.

• Security: Vendors are responsible for their own merchandise and personal items.
• Evaluation: Feedback forms will be provided and collected at the end of the event.

Food & Amenities

• Café: Open during the event for food and beverage purchases.
• Outside Food: Vendors may bring their own snacks and drinks.

Promotion & Advertising

NESA will actively promote the Arts & Crafts Sale through multiple channels:

• Facebook: Event page with shareable posts for vendors.
• Online Ads: Citywide digital promotion.
• Website: Full event details at www.nesa1.ca.
• Email Marketing: Notices sent to NESA’s subscriber list.
• Posters: Displayed at NESA and community centers; available in print and digital copies for vendors to share.
• Street Sign: Promotion on 137th Avenue street sign.
