HARVEST HOMECOMING VENDOR AGREEMENT, REGULATIONS AND GUIDELINES
This agreement made and entered between Harvest Homecoming, a part of COFAM Harrison and applicant shown here within. The purpose of this agreement is to set forth the terms and conditions whereby said Operator/Vendor is authorized by the Festival to operate a business. Vendor booth for the purpose of promoting and/or selling represented products under the following:
Terms and Conditions:
To be considered for inclusion in the festival, each vendor must submit a completed application with payment and acknowledgement of Harvest Homecoming Regulations and Guidelines, received no later than September 7th, 2026. Applications received after this date cannot be guaranteed a booth space.
The Festival will review all applications to make sure vendors meet Festival criteria. Applications will be processed on a first come, first serve, locals and past participants preferential basis. Before the Festival, you will receive confirmation of acceptance and necessary information. If you previously registered for a prior HH event and were a "no-show", your registration will not be processed until September.
The Festival will limit the number of similar vendors within certain areas, but will not guarantee exclusivity to any vendor. The Festival makes every effort to assign booth spaces to benefit all vendors. Vendors may not request specific booth spaces. The Festival reserves the right to make booth space changes at any time as it deems necessary. Only 1 vendor from any one direct sale company will be allowed. Booth space assignments will be provided upon check-in at the event.
All cancellations must be in writing and received before September 7th, 2026 to receive a refund. No refunds will be given after September 19th 2026. There will be no refunds given for inclement weather conditions unless event is cancelled by the Festival and unable to be rescheduled, with a minimum of 20% being retained to cover event costs.
Vendors are required to provide their own tables, chairs, canopies, tents, hoses, signage, extension cords and anything else needed to operate their booth. If you are not sure of items needed, please contact us.
Each represented business should pay for separate booth space. Vendor may not sublease space or have a shared booth space with other vendors without written consent from the Harvest Homecoming event chair.

REPRESENTED PRODUCT
To register, you must represent in one of the following ways:
+ sell a product that customers can take away from the event;
+ provide a take-a-way such as a piece of candy, pencil, toy, etc.
+ have a prize drawing supporting a LOCAL business;
+ provide a child-friendly activity
+ provide a value-added atmosphere to the event, such as a covered sitting area for attendees or free photo booth
This is an interactive event geared towards families and attracting visitors from abroad. Our primary goals are to promote our LOCAL community, ensure your business profits during this event and provide a desirable, destination event for attendees.
All vendors must give a complete description of items to be displayed or sold. Vendor acceptance is based on the understanding that the vendor will sell ONLY those items listed on this application. Additional items may not be sold without written consent from the Festival team prior to the event.
The following items cannot be sold: non-packaged food items; alcohol, tobacco, drugs, cannabis, vaping products or any items that are vulgar in nature. This is not an all-inclusive list. The Festival reserves the right to amend this list at any time. If the Festival informs a vendor that a particular item(s) cannot be sold, the item(s) must be removed from the premises immediately.
Exhibits shall not display, sell or dispense any items with offensive, profane and/or drug related paraphernalia. The sale or dispensing of these or any other items which in the opinion of the Festival team are inconsistent with the mission of Harvest Homecoming will result in the removal of the vendor.
SET-UP & DEPARTURE
All vendors must check-in upon arrival.
Specific booth spaces will not be designated in advance. You will be given your booth space assignment upon checkin. Those requiring specific loading/unloading requirements, electricity or water should indicate this on the application so that all effort to make accommodations can be made prior to the event.
Set-up will be along the entire perimeter and interior courtyard of the Harrison square.
Set-up for HH is 5 pm - 7 pm Friday, October 2nd and 6 am - 8 am Saturday, October 3rd.
We will provide a loading zone, facilities locations and parking map prior to the event. You are responsible for your property at all times. We will not provide security for your items. This is an OUTDOOR event.
Breakdown is from 4 - 6 pm, Saturday, October 3rd. No early exits as we will have specific loading zones that coincide with traffic closures.
GENERAL INFORMATION & GUIDELINES
All vendor spaces will be 10 x 10 in size. All items must be maintained within the space provided. No protrusions. No blocking walkways or public access. You will be asked to remove anything that exceeds the space provided.
You must have a representative at your booth at all times. Booths are not to be left unattended during Festival hours.
You are responsible for maintaining a clean, trash-free, clutter-free space. Trash cans are on each corner of the square. You are NOT to pile trash or dispose of large items such as boxes, wrapping or excess items into the trash receptacles on-site. Please take these items with you when leaving.
There are designated smoking areas around the courthouse square. There is NO SMOKING or vaping in the booth or vendor areas.
No animals belonging to vendors will be permitted onsite during the event. If you have a special need, please contact us by phone to discuss.
We strictly abide by the Arkansas Department of Health and Arkansas Department of Finance guidelines governing special events.
All vendors with canopies are required to securely tie or stake down canopies and weight each side of the canopy to prevent damage to others in the case of adverse weather.
This is an outdoor event, so precautions should be taken in preparing for this event, such as sidewalls in the case of rain.
ELECTRICAL NEEDS
Access to electricity will not be provided unless indicated on vendor registration.
Operator agrees to operate all electrical equipment, including wiring, in a safe, intelligent manner.
Operator agrees to use only designated receptacles in pre-approved locations.
Operator is allowed a maximum of 20 amps. If more power is needed, the vendor will be responsible for providing their own power supply.
TERMINATION RIGHTS
The Festival reserves the right to terminate the operation of the Operator at any time during the Festival for any of the following reasons:
+ Operator and/or employees fail to maintain a professional manner, commit any act detrimental to the purpose of the event, violate any provision of the Arkansas Health Department, fail to cooperate with event management staff and/or any breach of Vendor Agreement or Festival Regulations & Guidelines.
+ If vendor fails to comply with any of these guidelines, they may be dismissed from the Festival and any future events related to said organization.
INDEMNIFICATION
COFAM dba Harvest Homecoming, the HHBA, the governing city, county and state, as well as any future sponsors, are not responsible for any accidents, damages, or theft taking place on Festival ground. Attraction operators agree to obtain commercial general liability insurance, including products, in an amount of not less than $1,000,000 for bodily injury and property damage. Attraction operator agrees to provide insurance to protect operator during the event and to provide the Festival a certificate of insurance prior to the event. (example would be bouncy house operators)
Operator agrees to indemnify the Festival and any activity of the operator during the event.
TAXES
All vendors shall be responsible for the collection and payment of any tax upon the gross receipts as required by Arkansas Law. Arkansas Sales Tax - Operator must pay all sales tax to the State of Arkansas in compliance with state and local sales tax laws. Tax forms will be provided upon checking-in and MUST be turned in at the end of the event, along with tax payment in the form of check or money order. If you do not collect any money, you must fill the form claiming $0 sales. If you claim sales revenue and pay the state on your personal or business taxes, you must still complete the form and indicate how you pay these taxes. Everyone must complete and return the tax form. No exceptions.
