About this Event
About
Join us by exhibiting at our annual Reading for the Love of It (RFTLOI) 2025 in-person conference taking place on Thursday, February 20, and Friday, February 21, 2025 at the Sheraton Centre Toronto Hotel.
Exhibiting at RFTLOI gives you the opportunity to meet with a few thousand educators, to showcase and sell your products and services, and to host small in-booth events. In the past we’ve worked with publishers, book sellers, authors, illustrators, storytellers, literacy experts, education tech companies, and nonprofits. If you feel as though you would be a good fit, we welcome you to rent a booth or get in touch with us.
A booth rental gets you:
- 17 hours of display time
- An area of 8 feet deep by 10 feet wide with a maximum height of 8 feet
- 1 six-foot draped table and two chairs
- Free Wi-Fi
- Unlimited staffing at no additional cost
2025 Display Times
Thursday, February 20 from 8:15 am to 5:00 pm
Friday, February 21 from 8:15 am to 4:30 pm.
Our Association requests that no exhibitor events be scheduled when sessions and meal events are in progress.
Booth Location
Booth location assignments will be made in order of receipt; we will contact you as soon as we can following your purchase. We ask for your patience as we work through purchases.
Additional Booth Specifications
Additional needs are supplied through the contractor, Freeman Decorating, our show management company, who will email you a fully detailed information package prior to the conference. It will include electrical, AV equipment, furnishings, etc. order forms. It is important to remember that booth electricity is extra and can be booked once you receive the exhibitor service manual from Freeman. This should be available no later than January 2025.
Load-In and Load-Out
Load-In & Set-Up: Wednesday, February 19 from 12:00pm to 8:00pm
Tear-down & Load-Out: Friday, February 21 from 4:30pm-8:00pm
A limited number of dollies are available for loading and unloading. If you need extra assistance, Freeman Decorating will provide it for a fee. Consider sending a shipment in care of Freeman prior to the conference if you have a large load. If you arrange your own delivery, have the driver deliver directly to your booth with someone at the booth to receive it. A move-in schedule will be provided in advance of the show.
Important Notes
- There is limited storage on the show floor; materials must be stored in designated storage areas.
- Please respect the booth space parameters as outlined above. Any exhibitors exceeding the surface and height restrictions will be asked to bring their booth in line.
- The loading dock is for unloading and packing up hours only; cars will be towed if left unattended.
Payment by Cheque
If you plan to pay by cheque, you must still register online indicating that you will be mailing in your payment within 60 days of purchasing your booth space, or prior to the conference, whichever happens first; mailed in cheque payments will be accepted and applied against your purchase; cheques are made payable to ‘EYS Reading Association’ or the extended version: East York-Scarborough Reading Association, and forward to:
209 Scarboro Crescent, Scarborough, ON, M1M 2J6
You will need the confirmation email notice that will include the full price of the booths and the applicable processing fees prior to issuing your cheque payment. Paying by cheque will not affect the order in which I will reach back to you to sort out your booth(s) location.
Refund Policy
Refunds will be issued up until December 31, 2024. All refund requests after that date will be considered on a case-by-case basis. We must receive an email request regardless of when a refund is requested, but generally refunds requested after January 1st, 2025, are only issued on an emergency basis. Refunds requested by telephone will not be honoured. Requests can be emailed via the Eventbrite system or sent directly to [email protected]
Note: Our association is an independent not-for-profit organization. As such, any requests for refunds due to school board or union labour disputes, should there be any that would prevent an exhibitor from participating at the conference, will not be considered for a refund after our January 1, 2025 deadline. Only medical emergencies are considered.
