PARTICIPATION GUIDELINES: To ensure equitable access to Workplace Wellness events, please review and agree to the Participation Guidelines on Eventbrite when you register.
Equitable Participation in Wellness Events
The following guidelines are designed to maximize fair participation, so everyone has an equal chance to enjoy the program’s benefits, fostering a supportive and collaborative workplace.
Registration Commitment
Employees who register for a workplace wellness event are expected to attend or notify the program coordinator of their inability to participate at least 24 hours before the event. The program coordinator can be contacted via Eventbrite, email ([email protected]) or text message at 519-977-2065.
Initial Event Registrations
To ensure equal access, you may register for only one event during the first week of the event month. After the first week of the month, you may register for additional events. If you register for more than one event during the first week of the month, you will be contacted to select your preferred event and cancelled from additional events. In the event you do not indicate a preferred event, the first registered event will stand, and subsequent event registrations cancelled. You may re-register for these or other events after the first week of the month of the event.
Number of Tickets
Most events allow for two registrations per event. Family events allow for a larger number of tickets. You may register for co-workers but are asked to use their names for registration. For example, if you register for yourself and three-coworkers, use your name for the first two tickets and your colleagues’ names for additional tickets. If you are registering for co-workers, it is advised to add their name to the ticket for accurate tracking for participation awards and non-attendance. You are not required to add the name of a family or household member.
Registration Cancelation
If you are unable to attend an event that you have registered for, you are required to cancel your registration as least 24 hours before the event. Timely cancellations allow wait-listed employees to participate and help ensure the program’s resources are used efficiently. You may cancel on Eventbrite or by emailing [email protected]
Non-Attendance/No-Shows
Employees who fail to attend an event they have registered for without prior cancellation ("no-shows") prevent others from taking advantage of program opportunities and deplete the resources of the program. Attendance is tracked to ensure equitable and fair access to events and staff who do not cancel their registration in a timely manner will be restricted from future event registration as appropriate. Email [email protected] or text 519-977-2065 if unexpected circumstances arise and you require assistance to cancel.
No-Show Definition
A "no-show" occurs when an employee registers for an event and fails to attend without prior notification or cancels less than 24 hours before the event. Emergency circumstances (e.g., illness or unforeseen personal events) will be evaluated on a case-by-case basis.
Consequences for No-Show Instances
First Occurrence: The employee will receive a written notice via email that includes a reminder of the policy, the importance of attendance, and instructions to cancel on time for future events. Second Occurrence: The employee will be waitlisted for participation in wellness events for a period of 60 days. During this time, their registration will be considered only if space remains available after accommodating other employees.
Waitlist Entries
The Eventbrite waitlist is for one ticket. Please add yourself to the waitlist with separate entries for each ticket you need. Once space in a full event opens, you will receive an email from Eventbrite and have two days to register.
