2025 ASTSWMO Joint Hazardous Waste and Materials Management Training

ASTSWMO is pleased to invite State and Territorial (State) Hazardous Waste and Materials Management program managers and staff, U.S. Environmental Protection Agency (EPA) Headquarters and Regional staff, and other guests to the 2025 ASTSWMO Joint Hazardous Waste and Materials Management Training (Joint Training) in Kansas City, MO. The two-and-a-half-day meeting will provide a forum for training, information-sharing and interaction among participants, as well as national policy updates. Due to limitations on hotel meeting space capacity and accommodations availability, priority attendance will be given to our members, federal officials, and invited guests. Additional information on State member reimbursement and participation for the Joint Training is provided below.

The Joint Training is an in-person event.

The Joint Training is a mix of plenary and concurrent sessions. Plenary sessions will address issues relevant to both Hazardous Waste and Materials Management programs. Concurrent sessions will allow for a focus on Hazardous Waste and Materials Management program-specific topics.

The current draft agenda is available and will be updated regularly with more details on session presentations and confirmed speakers as they become available.

ASTSWMO is not allowing on-site registration at the Joint Training. There is no meeting registration fee. All attendees, including speakers, must register for the meeting. The last day to register with ASTSWMO is:

· For ASTSWMO members requesting reimbursement: May 21, 2025

· For attendees not requesting reimbursement: July 7, 2025

ASTSWMO also reserves the right to close registration early if capacity is reached prior to July 7, 2025.

A confirmation of registration e-mail will be forwarded to you upon receipt of your completed registration form by eventbrite.

For State members requesting reimbursement: A confirmation of reimbursement will be sent separately by ASTSWMO staff within one week after ASTSWMO’s receipt of a registration with a request for funding. Please do not make any travel arrangements before you receive the reimbursement confirmation from ASTSWMO staff.

ASTSWMO has funding available to reimburse one (1) Hazardous Waste program attendee and one (1) Materials Management program attendee per State and Territory (State), for a total of two attendees per State. ASTSWMO requests that States predetermine which staff will travel with ASTSWMO reimbursement prior to staff registering for the Joint Training.

To receive ASTSWMO funding, State attendees must request reimbursement when registering for the meeting and funding must be approved and confirmed by ASTSWMO staff prior to travel arrangements being made. Please request funding only within your program area. If the funding option is grayed out, that means funding is full. Please contact Kerry Callahan, ASTSWMO, at [email protected] to be put on a wait list for funding in your program area.

Funding for State registrants placed on a wait list for ASTSWMO travel reimbursement will be considered after the May 21st registration deadline.

States may fund additional attendees. If your State is planning to fund attendees, please contact Kerry Callahan in the ASTSWMO office at [email protected] to discuss the number of attendees since the allowable number will depend on available meeting space.

ASTSWMO has reserved a block of sleeping rooms at the contracted rate of $130 per night plus taxes, which includes an arena fee plus tax.

Room reservations will be accepted through Monday, July 21, 2025. Reservations made after that date will be subject to a determination by the hotel of room and date availability.

The reservations page will show the rate of $140 per night, indicating it as the total of the $130 room rate plus $10 fees per night. Please note that the reservations page automatically shows the $10 destination fee but that fee is waived for the ASTSWMO room block.

Check-in time is 4:00 PM and check-out time is 11:00 AM.

All reservations must be guaranteed with a valid credit card. Guaranteed reservations are held for arrival until 8:00 AM on the day following the first night reserved. Guaranteed reservations are cancelable provided the hotel receives notice of cancellation at least seventy-two (72) hours prior to the date of arrival. In the event of a reservation being cancelled less than 72 hours prior to arrival, a cancellation fee equal to first night’s room and tax will be charged to the credit card.

The distance from the airport to the hotel is about 25 miles from downtown where the hotel is located.

Depending on time of day and traffic, the trip to and from the airport will typically take around 30-50 minutes.
