7:00 AM – Depart Target White Oak

Thank you for choosing Open Road Travel Club. By registering for any event, tour, or excursion hosted by Open Road Travel Club ("the Company"), you agree to the following Terms and Conditions.
1. Registration and Payment
Full payment or the required deposit must be received to secure your reservation.
Reservations are confirmed only after payment has been received.
Prices are subject to change until a reservation is confirmed.
All prices are listed per person unless otherwise stated.
2. Cancellation and Refund Policy
Cancellation requests must be submitted in writing via email.
Deposits are non-refundable unless otherwise stated.
Refund eligibility is based on the cancellation deadline listed for each event.
No refunds will be issued for no-shows, late arrivals, voluntary departure from the tour, or unused portions of the trip.
If an event includes non-refundable tickets, admissions, or hotel reservations, those costs are non-refundable regardless of the cancellation date.
Refunds, when approved, will be processed to the original payment method within a reasonable timeframe.
3. Event Changes
Open Road Travel Club reserves the right to modify itineraries, schedules, attractions, restaurants, or transportation due to weather, traffic, vendor availability, safety concerns, or circumstances beyond our control. Comparable substitutions may be made without prior notice.
4. Event Cancellation by Open Road Travel Club
The Company reserves the right to cancel any event due to insufficient participation, severe weather, emergencies, or circumstances beyond its control. If the Company cancels an event, participants will receive either:
A full refund; or
A credit toward a future event, when applicable.
The Company is not responsible for additional expenses incurred by participants, including hotel reservations, airline tickets, rideshare services, meals, or lost wages.
5. Transportation
Participants must arrive at the designated departure location at least 15–30 minutes before the scheduled departure time.
Motorcoaches will depart as scheduled and cannot be delayed for late arrivals.
Missed departures are considered no-shows and are not eligible for refunds.
Seat assignments may be made at the discretion of the Company unless otherwise specified.
6. Participant Responsibilities
Participants are expected to:
Treat fellow travelers, staff, and vendors with courtesy and respect.
Follow all safety instructions.
Comply with all venue and transportation rules.
Refrain from disruptive, abusive, or illegal behavior.
The Company reserves the right to remove any participant whose behavior jeopardizes the safety or enjoyment of others. No refund will be issued in such cases.
7. Health and Accessibility
Participants are responsible for determining whether an event is suitable for their physical abilities and medical conditions. Open Road Travel Club is not responsible for medical expenses or limitations that prevent participation.
Guests requiring mobility assistance, special accommodations, or dietary considerations should notify the Company before booking. While every reasonable effort will be made to accommodate requests, accommodations cannot be guaranteed.
8. Assumption of Risk
Participation in tours and events involves certain inherent risks, including but not limited to transportation delays, weather conditions, accidents, illness, and activities at third-party venues. By participating, you voluntarily assume these risks.
9. Limitation of Liability
Open Road Travel Club acts solely as an organizer and coordinator of transportation, accommodations, attractions, restaurants, and other services provided by independent third parties. The Company shall not be liable for injury, loss, damage, theft, delays, cancellations, acts of God, weather events, mechanical failures, or the negligence of third-party providers.
10. Photography and Media
Photographs and videos may be taken during events for promotional purposes. By participating, you grant Open Road Travel Club permission to use your likeness in marketing materials, social media, and future promotional content without compensation.
If you do not wish to appear in photographs or videos, please notify the event host before the event begins.
11. Personal Belongings
Participants are responsible for their own personal belongings. Open Road Travel Club is not responsible for lost, stolen, or damaged items.
12. Alcohol and Controlled Substances
Alcohol consumption is permitted only where allowed by law and venue policy. Illegal drugs and unlawful conduct are strictly prohibited. Participants who violate these rules may be removed from the event without refund.
13. Force Majeure
The Company shall not be liable for delays, cancellations, or interruptions caused by events beyond its reasonable control, including severe weather, natural disasters, government actions, labor disputes, pandemics, terrorism, or other emergencies.
14. Agreement
By registering for an Open Road Travel Club event, participants acknowledge that they have read, understood, and agree to these Terms and Conditions.
