Terms and Conditions — AI & Cybersecurity in Education Conference
1. DEFINITIONS
1.1. “Event” refers to the AI & Cybersecurity in Education Conference held on May 29–30, 2026, at the Polytechnic University of Puerto Rico (PUPR), from 8:30 AM to 3:00 PM each day.
1.2. “Organizers” refers to the event organizing team, including representatives from the Polytechnic University of Puerto Rico and affiliated program partners.
1.3. “Registrant” refers to any individual who submits a registration form for the Event.
1.4. “Stipend Recipient” refers to a Registrant who has been (a) contacted by the Organizers regarding stipend eligibility, AND (b) confirmed their attendance in writing within the required timeframe.
1.5. “General Attendee” refers to a Registrant who has not been designated as a Stipend Recipient.
1.6. “Confirmation” refers to explicit written acknowledgment from the Registrant accepting their stipend eligibility and committing to attend the Event.
2. REGISTRATION
2.1. Application Only. Submitting a registration form constitutes an application to attend the Event. Registration alone does not guarantee admission, seating, stipend, meals, or any other benefit.
2.2. Mandatory Registration. All individuals wishing to attend the Event must complete the registration process. Walk-in attendance without prior registration is not permitted.
2.3. Accurate Information. Registrants must provide accurate, complete, and truthful information on the registration form. Providing false, misleading, or incomplete information may result in immediate disqualification and forfeiture of any benefits.
2.4. One Registration Per Person. Each individual may submit only one registration. Duplicate registrations may be disqualified.
2.5. Registration Deadline. Registrations must be submitted by the deadline specified by the Organizers. Late registrations may not be accepted.
2.6. Ticket Validity Across Conference Dates. Notwithstanding the date displayed on the ticket (May 29), all tickets issued grant access to the full duration of the conference, including both May 29 and May 30. No additional ticket is required to attend the second day of the Event.
3. STIPEND ELIGIBILITY AND BENEFITS
3.1. Stipend Amount. A stipend of $150 USD may be awarded to eligible Registrants.
3.2. Eligibility Determination. Eligibility for the stipend is determined solely by the Organizers based on criteria established at their discretion.
3.3. Contact Requirement. Only Registrants who are contacted directly by the Organizers regarding stipend eligibility are eligible for the stipend.
3.4. Confirmation Requirement. Registrants contacted regarding stipend eligibility must confirm their attendance in writing within the timeframe specified by the Organizers. Failure to confirm within the deadline may result in forfeiture of the stipend and reserved seating.
3.5. Benefits for Stipend Recipients. Confirmed Stipend Recipients will receive:
(a) $150 USD stipend
(b) Complimentary breakfast and lunch on both Event days
(c) Reserved seating at the Event
3.6. Stipend Distribution. The method and timing of stipend distribution will be communicated to eligible recipients. Stipends may be subject to applicable tax reporting requirements.
3.7. Non-Transferable. The stipend and associated benefits are non-transferable and may not be assigned or transferred to another individual.
3.8. Forfeiture. Stipend Recipients who fail to attend the Event, arrive significantly late, leave early, or do not attend both days in full may forfeit the stipend.
4. GENERAL ATTENDEE CONDITIONS
4.1. Space Availability. Registrants who are not designated as Stipend Recipients may attend the Event only if space remains available.
4.2. Attendance Not Guaranteed. Admission for General Attendees is subject to capacity limitations and may be granted on a first-come, first-served basis.
4.3. Meals Not Guaranteed. Complimentary meals are reserved primarily for confirmed Stipend Recipients.
4.4. Acknowledgment. By registering, General Attendees acknowledge that their attendance may be conditional based on available capacity.
5. ATTENDANCE AND CONDUCT
5.1. Full Attendance Expected. Attendees are expected to attend all sessions on both Event days (May 29–30, 8:30 AM – 3:00 PM).
5.2. Check-In Required. Attendees must check in at the registration desk upon arrival each day.
5.3. Identification. Attendees may be required to present valid identification at check-in.
5.4. Code of Conduct. All attendees must behave in a respectful and professional manner. The Organizers reserve the right to remove any attendee whose behavior is disruptive or inappropriate.
5.5. Compliance. Attendees must comply with instructions from the Organizers, venue staff, and security personnel.
6. CANCELLATION AND CHANGES
6.1. Cancellation by Registrant. Registrants who wish to cancel must notify the Organizers as soon as possible.
6.2. Cancellation by Organizers. The Organizers reserve the right to cancel, postpone, or modify the Event due to unforeseen circumstances.
6.3. Liability for Cancellation. The Organizers are not responsible for any travel, lodging, or other expenses incurred by Registrants in connection with the Event.
7. LIABILITY AND WAIVER
7.1. Assumption of Risk. Attendees participate in the Event at their own risk.
7.2. Waiver of Claims. By attending the Event, attendees waive claims against the Organizers, sponsors, partners, and venue for injuries, losses, or damages arising from participation.
7.3. Limitation of Liability. The Organizers shall not be liable for incidental or consequential damages related to participation in the Event.
8. MEDIA RELEASE
8.1. Consent to Recording. By attending the Event, attendees grant permission for photographs, video, or audio recordings to be taken.
8.2. Use of Media. Such media may be used for promotional, educational, or reporting purposes by the Organizers without compensation.
9. DATA AND PRIVACY
9.1. Collection of Information. Personal information collected during registration will be used for Event administration and communication.
9.2. Sharing of Information. Information may be shared with event partners or sponsors for purposes related to the Event.
9.3. Communication. Registrants consent to receive communications related to the Event.
10. GENERAL PROVISIONS
10.1. Governing Law. These Terms and Conditions shall be governed by the laws of the Commonwealth of Puerto Rico.
10.2. Amendments. The Organizers reserve the right to modify these Terms and Conditions at any time.
10.3. Entire Agreement. These Terms constitute the entire agreement between the Registrant and the Organizers regarding the Event.
11. ACKNOWLEDGMENT AND AGREEMENT
By submitting a registration, the Registrant acknowledges that they have:
(a) Read these Terms and Conditions
(b) Understood the provisions contained herein
(c) Agreed to be bound by these Terms and Conditions
(d) Accepted that registration does not guarantee stipend eligibility or other benefits
