About this Event
Be part of ArtSpan’s VOLUNTEER team as we celebrate as we celebrate our golden year, “From Disco Days to the Tech Craze: 50 Years of Championing Local Arts!” while raising vital funds to for programs that uplift and support art and artists in the San Francisco Bay Area.
We are seeking dependable volunteers able to assist with a variety of auction roles.
Art In-take Greeter - max 3 spots per shift
Sunday, May 12 | Shift 2:00 PM - 6:30PM
Duties will include greeting and checking in artists and having consignment forms signed and kept in order. Recommend that volunteers dress in warm layers as you will be near an open door.
Art In-take Greeter - max 3 spots per shift
Monday, May 13 | Shift 10:30AM-1:30PM
Monday, May 13 | Shift 1:00PM - 4:30PM
Monday, May 13 | Shift 4:00PM-7:30PM

Artwork Assessor - max 3 spots per shift

Duties will include safely handling artwork, unwrapping each incoming piece to inspect the condition of artwork, rewrapping the piece and appropriately placing work in the gallery for hanging. Check for chipped edges, scratches on the frame and glass, and for hanging wire installed; no sawtooth hardware will be accepted. If an artwork does not look up to par, confer with an ArtSpan team member. Adhere correct copy of artwork details document (name, title, medium, dimensions, etc.) to rewrapped artwork. Help keep the facility organized and tidy. Recommend that volunteers dress in warm layers as you will be near an open door.
Exhibition Installers - max 3 spots per
Wednesday, May 15, 2024 | Shift 2:00PM-5:00PM
Exhibition Installers must have art handling experience.Most artwork will be installed by this shift. We need assistance with final touches (leveling and applying putty to museum waxing pieces, spot cleaning, checking labels), QR code testing (smartphone required) and other duties as assigned to prepare the gallery before we open. Comfortable clothing and closed-toed enclosed shoes required.
Check-In - max 4 spots per shift

Cordially greet and check-in arriving guests, asking for the last name of each ticket holder. Apply wristbands and hand out drink tickets to each attendee. You will be stationed at the entrance doors so we recommend wearing layers and being prepared for chilly weather. All black clothing and comfortable shoes are appropriate attire.
Event Greeters - max 2 spots per shift

Welcome guests into 111 Minna’s space offering directions to coat check and bathrooms. Must be comfortable with crowd control while people line up and check into our events. We recommend that volunteers dress in warm layers as you will be outside or near an open door. All black clothing and comfortable shoes are appropriate attire.
Art Concierges - max 3 spots per shift

Be present to welcome guests in the gallery space and offer information about how to place bids. Explain how the mobile bidding system works to those who need clarification (ArtSpan will train you to use our bidding platform). Be familiar with artwork on display to discuss with potential bidders and offer reassurance to bidders on the fence of placing a bid. Smartphone required; all black clothing and comfortable shoes are appropriate attire. Note: You will need to be comfortable registering with ArtSpan's online bidding portal to be able to demonstrate its use to others.
Coat Check - max 2 spots per shift

Receive coats and handbags from guests, provide guests with a check ticket, keep all belongings in coat check safe during the event and return belongings correctly to guests. Attention to detail and customer service skills are required. All black clothing and comfortable shoes are appropriate attire.
Bartender - max 4 spots per shift

Friday, May 17 | Shift 5:30PM-8:30PM
Prepare your bar station. Pour wine and beer for guests, collect ArtSpan donations. Wear comfortable shoes and dress in all black.
Hospitality/Pass Apps - max 4 spots per shift
Thursday, May 16 | Shift 5:00PM-9:00PM
Plate appetizers neatly on hand platters (make sure to wear provided gloves during this process), know what you are serving to guests, carry napkins as you pass the food, replenish your platters as needed, and keep hand platters and plating areas clean. All black clothing and comfortable shoes are appropriate attire.
Food Prep & Hospitality - max 4 spots per shift
Friday, May 17 | Shift 4:30PM-8:30PM
Plate food neatly on large platters (make sure to wear gloves during this process), replenish platters and napkins as needed, and keep food serving and plating areas clean. All black clothing and comfortable shoes are appropriate attire.
Art Handlers - max 4 spots per shift

Art handlers are needed to transport the sold auction artworks to the wrapping station. Move live-auction artworks to and from the event stage during the live-auction portion of event. Display artworks to the crowd of bidding guests, then bring sold pieces back to wrapping station. Assist guests in transporting their purchased items to their cars. Prior experience in art handling is required.
Event Art Wrappers

A wrapping crew is needed to securely package all sold artworks (using provided bubble wrap, butcher paper, packing tape and cardboard boxes as needed) after the conclusion of the auction events and attach the correct corresponding paperwork to the outside of the packaging while keeping the wrapping room and pick-up area organized. Attention to detail required. Comfortable clothing and enclosed shoes required.
Art Wrapping & Deinstall - max 4 spots per shift
