Join us for a two-day, hands-on professional development workshop designed for educators interested in leveraging Artificial Intelligence in the classroom. Participants will explore foundational AI concepts and learn how to use AI tools to design customized instructional resources that enhance teaching, learning, and student engagement.

Terms and Conditions — AI Fundamentals for Educators Conference



1.⁠ ⁠DEFINITIONS

1.1. "Event" refers to the AI Fundamentals for Educators Conference held on April 17-18, 2025, at Polytechnic University of Puerto Rico (PUPR), from 8:30am to 4:30pm each day.

1.2. "Organizers" refers to the event organizing team, including representatives from EPNC and DoD-CAEO.

1.3. "Registrant" refers to any individual who submits a registration form for the Event.

1.4. "Stipend Recipient" refers to a Registrant who has been (a) contacted by the Organizers regarding stipend eligibility, AND (b) confirmed their attendance in writing within the required timeframe.

1.5. "General Attendee" refers to a Registrant who has not been designated as a Stipend Recipient.

1.6. "Confirmation" refers to explicit written acknowledgment from the Registrant accepting their stipend eligibility and committing to attend the Event.



2.⁠ ⁠REGISTRATION

2.1. Application Only. Submitting a registration form constitutes an application to attend the Event. Registration alone does not guarantee admission, seating, stipend, meals, or any other benefit.

2.2. Mandatory Registration. All individuals wishing to attend the Event must complete the registration process. Walk-in attendance without prior registration is not permitted.

2.3. Accurate Information. Registrants must provide accurate, complete, and truthful information on the registration form. Providing false, misleading, or incomplete information will result in immediate disqualification and forfeiture of any benefits, including the stipend.

2.4. One Registration Per Person. Each individual may submit only one registration. Duplicate or multiple registrations from the same individual will be disqualified.

2.5. Registration Deadline. Registrations must be submitted by the deadline specified by the Organizers. Late registrations will not be accepted.

2.6 Ticket Validity Across Conference Dates. Notwithstanding the date displayed on the ticket (April 17), all tickets issued grant access to the full duration of the conference, including both April 17 and April 18. No additional ticket or registration is required to attend the second day of the event.



3.⁠ ⁠STIPEND ELIGIBILITY AND BENEFITS

3.1. Stipend Amount. A stipend of $200 USD may be awarded to eligible Registrants.

3.2. Eligibility Determination. Eligibility for the stipend is determined solely by the Organizers based on criteria established at their discretion. The Organizers are under no obligation to disclose eligibility criteria.

3.3. Contact Requirement. Only Registrants who are contacted directly by the Organizers are eligible for the stipend. Registrants who are not contacted are not eligible for the stipend under any circumstances.

3.4. Confirmation Requirement. Registrants contacted regarding stipend eligibility must confirm their attendance in writing within the timeframe specified in the Organizer's communication. Failure to confirm within the stated deadline will result in automatic forfeiture of the stipend, meals, and guaranteed seat.

3.5. Benefits for Stipend Recipients. Stipend Recipients who confirm their attendance will receive:


(a) $200 USD stipend

(b) Complimentary breakfast and lunch on both Event days

(c) Guaranteed reserved seating at the Event


3.6. Stipend Distribution. The method, timing, and conditions of stipend distribution will be communicated to Stipend Recipients upon confirmation. Stipends may be subject to applicable tax reporting requirements.

3.7. Non-Transferable. The stipend, meals, and reserved seating are non-transferable and may not be assigned, sold, exchanged, or given to another individual under any circumstances.

3.8. Forfeiture. Stipend Recipients who fail to attend the Event, arrive late, leave early, or do not attend both days in full forfeit the stipend in its entirety. Partial attendance does not entitle the Stipend Recipient to partial payment.



4.⁠ ⁠GENERAL ATTENDEE CONDITIONS

4.1. Space Availability. Registrants who are not designated as Stipend Recipients may attend the Event only if space remains available after all Stipend Recipients have been confirmed and accommodated.

4.2. Attendance Not Guaranteed. General Attendees are not guaranteed a seat. Admission is subject to capacity limitations and will be granted on a first-come, first-served basis on the day of the Event.

4.3. Meals Not Provided. General Attendees will not receive meals (breakfast or lunch). General Attendees are solely responsible for their own food arrangements during the Event.

4.4. Acknowledgment. By registering, General Attendees acknowledge and accept that their attendance is conditional and that they may be denied entry if capacity has been reached.



5.⁠ ⁠ATTENDANCE AND CONDUCT

5.1. Full Attendance Required. All attendees (Stipend Recipients and General Attendees) are expected to attend all sessions on both Event days (April 17-18, 8:30am - 4:30pm).

5.2. Check-In Required. Attendees must check in at the registration desk upon arrival each day. Failure to check in will be recorded as an absence.

5.3. Punctuality. Attendees must arrive on time for all sessions. Late arrivals may be denied entry to ongoing sessions and, for Stipend Recipients, may affect stipend eligibility.

5.4. Early Departure. Attendees who leave the Event early without prior written approval from the Organizers will be considered as having forfeited their attendance for that day. For Stipend Recipients, early departure will result in forfeiture of the stipend.

5.5. Identification. Attendees must present valid government-issued identification at check-in. The name on the identification must match the name on the registration.

5.6. Code of Conduct. All attendees must conduct themselves in a professional, respectful, and courteous manner at all times. The Organizers reserve the right to remove any attendee whose behavior is disruptive, offensive, threatening, or violates any applicable laws or policies. Removed attendees will not receive any refund, compensation, or stipend.

5.7. Compliance. Attendees must comply with all instructions from the Organizers, venue staff, and security personnel. Failure to comply may result in removal from the Event.



6.⁠ ⁠MEALS

6.1. Meals for Stipend Recipients Only. Complimentary breakfast and lunch will be provided exclusively to confirmed Stipend Recipients on both Event days.

6.2. Dietary Restrictions. Stipend Recipients must indicate any dietary restrictions or allergies during registration or upon confirmation. The Organizers will make reasonable efforts to accommodate dietary requests but do not guarantee accommodation of all dietary needs.

6.3. Meal Times. Meals will be served at designated times only. Attendees who miss meal times are not entitled to alternative meal service or compensation.

6.4. No Substitutions or Cash Value. Meals have no cash value. Stipend Recipients who do not consume provided meals are not entitled to any substitution, refund, credit, or compensation.

6.5. General Attendees. General Attendees are not entitled to meals and must arrange their own food. General Attendees may not access, consume, or take any portion of meals designated for Stipend Recipients.



7.⁠ ⁠CANCELLATION AND CHANGES

7.1. Cancellation by Registrant. Registrants who wish to cancel their registration must notify the Organizers in writing as soon as possible. Cancellation does not entitle the Registrant to any compensation.

7.2. Cancellation by Organizers. The Organizers reserve the right to cancel, postpone, reschedule, or modify the Event at any time for any reason, including but not limited to unforeseen circumstances, insufficient enrollment, or force majeure. In such cases, Registrants will be notified via the contact information provided during registration.

7.3. Liability for Cancellation. The Organizers are not liable for any costs, expenses, damages, or losses incurred by Registrants due to cancellation, postponement, or modification of the Event, including but not limited to travel, lodging, or lost wages.

7.4. Substitution Prohibited. Registrants may not transfer, sell, assign, or substitute their registration to another individual under any circumstances.

7.5. Program Changes. The Organizers reserve the right to modify the Event schedule, speakers, topics, content, format, or venue at any time without prior notice.



8.⁠ ⁠LIABILITY AND WAIVER

8.1. Assumption of Risk. Attendees participate in the Event entirely at their own risk. The Organizers, sponsors, partners, affiliates, venue, and their respective officers, employees, agents, and representatives are not responsible for any injury, illness, loss, damage, or death to persons or property arising from participation in the Event.

8.2. Waiver of Claims. By attending the Event, attendees waive any and all claims, demands, causes of action, and rights to sue the Organizers, sponsors, partners, affiliates, venue, and their respective officers, employees, agents, and representatives for any injury, illness, loss, damage, or death arising from participation in the Event.

8.3. Limitation of Liability. Under no circumstances shall the Organizers be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising from participation or inability to participate in the Event, including but not limited to loss of income, stipend, travel expenses, or any other costs.

8.4. Indemnification. Attendees agree to indemnify, defend, and hold harmless the Organizers, sponsors, partners, affiliates, venue, and their respective officers, employees, agents, and representatives from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorney fees) arising from or related to the attendee's participation in the Event or violation of these Terms and Conditions.

8.5. Force Majeure. The Organizers shall not be liable for any failure or delay in performing their obligations due to circumstances beyond their reasonable control, including but not limited to acts of God, natural disasters, pandemics, government actions, civil unrest, terrorism, strikes, or utility failures.



9.⁠ ⁠MEDIA RELEASE

9.1. Consent to Recording. By attending the Event, attendees grant the Organizers, sponsors, and partners irrevocable permission to photograph, film, record, and capture their likeness, image, voice, and statements during the Event.

9.2. Use of Media. The Organizers may use, reproduce, distribute, display, and publish such photographs, films, recordings, and likenesses in any medium, including but not limited to promotional materials, publications, websites, social media, and marketing campaigns, without compensation, credit, or further consent from the attendee.

9.3. Waiver of Rights. Attendees waive any right to inspect, approve, or receive compensation for the use of their likeness, image, voice, or statements.



10.⁠ ⁠DATA AND PRIVACY

10.1. Collection of Information. The Organizers will collect personal information provided during registration, including but not limited to name, email address, phone number, affiliation, and dietary restrictions.

10.2. Use of Information. Information collected will be used for Event administration, eligibility verification, communication, and coordination with sponsors and partners.

10.3. Sharing of Information. Registrant information may be shared with Event sponsors, partners, and affiliates for purposes related to the Event. By registering, Registrants consent to such sharing.

10.4. Communication. By registering, Registrants consent to receive email and phone communications related to the Event. Registrants may opt out of future non-essential communications at any time by contacting the Organizers.

10.5. Data Retention. Registrant information will be retained for a reasonable period following the Event for administrative and reporting purposes.



11.⁠ ⁠GENERAL PROVISIONS

11.1. Governing Law. These Terms and Conditions shall be governed by and construed in accordance with the laws of the Commonwealth of Puerto Rico, without regard to conflict of law principles.

11.2. Dispute Resolution. Any dispute arising from or related to these Terms and Conditions or the Event shall be resolved exclusively in the courts of Puerto Rico. By registering, Registrants consent to the personal jurisdiction of such courts.

11.3. Interpretation. These Terms and Conditions shall be interpreted at the sole discretion of the Organizers. Any ambiguity shall be resolved in favor of the Organizers.

11.4. Severability. If any provision of these Terms and Conditions is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall remain in full force and effect.

11.5. Waiver. The failure of the Organizers to enforce any provision of these Terms and Conditions shall not constitute a waiver of that provision or the right to enforce it at a later time.

11.6. Amendments. The Organizers reserve the right to amend, modify, or update these Terms and Conditions at any time without prior notice. Updated terms will be posted and communicated to Registrants. Continued participation in the Event constitutes acceptance of any amended terms.

11.7. Entire Agreement. These Terms and Conditions constitute the entire agreement between the Registrant and the Organizers regarding registration and attendance at the Event. These Terms and Conditions supersede all prior or contemporaneous communications, representations, or agreements, whether oral or written.

11.8. Headings. Section headings are for convenience only and do not affect the interpretation of these Terms and Conditions.



12.⁠ ⁠ACKNOWLEDGMENT AND AGREEMENT

By submitting a registration, the Registrant acknowledges that they have:


(a) Read these Terms and Conditions in their entirety

(b) Understood all provisions contained herein

(c) Agreed to be legally bound by these Terms and Conditions

(d) Accepted that registration does not guarantee attendance, stipend, meals, or any other benefit

(e) Accepted that only Registrants contacted by the Organizers and who confirm attendance are eligible for the stipend and meals

(f) Accepted that attendance for General Attendees is subject to space availability
