Please read thoroughly and let us know if you have any questions. Visit Indy and Gen Con has provided social media awareness and additional directional signage through the Indiana Convention Center and down Capitol Avenue to encourage attendees to go to the new location. Agreement:
This agreement sets forth the terms and conditions with respect to services to be provided by each participating food truck in connection with the Gen Con Block Party from Thursday, August 1 to Sunday, August 4, 2024. By registering for this event, you agree to the terms and conditions.
Event Overview and Schedule:
The Event consists of live entertainment and gaming, beverages by Sun King Brewery, Daniel's Vineyard, and food by local food trucks. Food truck shift times have been established to provide the best product and service for the attendees and large crowds, estimated at 60,000 guests on peak this year. The schedule below has been determined in collaboration with Gen Con to allow time for move in move out of food trucks and other equipment needed for the event.
Eligibility:
The event is open to any food truck* that is licensed by the Marion County Public Health Department as of July 1, 2024. Food trucks must be fully operational and without MCPHD violations. All food trucks must carry liability insurance, and a certificate of liability insurance listing Gen Con, LLC, Visit Indy, the City of Indianapolis, Indiana Convention Center & Lucas Oil Stadium, Capitol Improvement Board and Denison Parking as additional insured will be required before Friday, July 14, 2024. A photo of your mobile truck and menu as you intend to set it up for the event is also due at this time.
*Note: Gen Con has secured an exclusive and official sponsor for pizza. Therefore, no pizza trucks will be allowed, unless they are able to cover any wording with “pizza” and offer another option (i.e., calzones).
Ticket Purchase Process:
2023 was the first year in this location and are making changes based on production. If you are a repeat vendor, please note as things have changed.
- Daily registration will be capped at 36 trucks per day
- There will be 6 Premium Spots daily available for purchase and those spots will be located on South Street closest to Capitol (3 spots on each side of the street)
- The remaining 30 spots will be a random draw by you daily to receive your location
- Cost to participate will be $550 for a Standard Spot daily (Sunday, August 4 $350)
- Cost to participate will be $750 for a Premium Spot daily (Sunday, August 4 $550)
- Only full day service tickets will be sold
- Staging Lot will open at 7:00am daily
- Last call for check-in will be 7:45am daily
- Food service will begin at 9:00am (breakfast service encouraged)
- Opportunity to close for 1 hour daily will be available if desired
- Delivery passes available to each truck will be available for replenishment if needed
By purchasing a ticket, your food truck is committing to serve guests during the designated open hours with a one hour close time permitted each day as needed. No food trucks will be permitted to vacate their spot once parked until the event is complete and load out begins at the end of each evening. There are no exceptions.
You will purchase your tickets through Eventbrite link to participate. The link will go live at 10 a.m. EDT on Tuesday, June 11, 2024, and shifts are first come, first served until tickets are sold out. The purchase of the “ticket” serves as your payment for the event for each shift.
You may purchase tickets for multiple trucks within one company, however EACH, INDIVIDUAL truck MUST have their own agreement and ticket. Tickets are sold on a first come, first served basis.
It is first come, first serve. Should a desired shift be full, please put your truck on the waitlist. No food trucks are guaranteed a shift or placement; however, opportunities may arise prior to the event and trucks on the waitlist will be contacted in the order that they submit interest.
Truck Placement Process:
On event day, the line order will be determined via a random draw. Only those that purchase the Premium Spot will be guaranteed their placement. Those that fail to arrive by the designated time will be forced to the remaining spots available and load in as available after properly arrived trucks have been placed.
Code of Conduct:
Bad behavior of any kind including but not limited to yelling, cussing, arguing with management, officers, or other food truck owners prior to the shift, during the shift or at the end of the shift will not be tolerated and if violated the food truck will be removed from the event permanently.
Service Expectations and Truck Regulations:
Food Trucks shall provide the following services in connection with the Block Party:
- Provide quality food service at scheduled times of your shift.
- Follow all guidelines set forth by the Event Manager regarding move in, operating and move out.
- Provide a clean environment. Food Trucks will not leave trash or other debris at reserved site and must clean any spillage from any food product. Employees must always maintain the highest degree of cleanliness and professionalism.
- An area will be provided for trash; however, each food truck will be required to take their own trash to the designated locations throughout the duration of their shift.
- Trucks must remain a fully licensed and compliant mobile food vehicle whose primary function is the preparation and sale of food.
- An LDL (Limited Duration License) is NOT required for this event. The event organizer has purchased the necessary permits.
- If the Block Party incurs an expense due to a food truck mechanical issue or other issue, the food truck operator agrees to cover those expenses. (i.e., vehicle break down)
- All trucks must operate using a generator with a sound level below 90 decibels. Noise is measured from 3 feet or 1 meter from the generator. Should you arrive at the event and your noise level does not meet this criteria, you will be asked to leave, and your payment will not be reimbursed.
- Food Trucks may not sell novelty items or alcoholic beverages of any kind.
- Extensive publicity and promotions are planned for this event. All Food Trucks must be prepared to serve food for the duration of their shift. Trucks will only be allowed to arrive and depart at the designated times. Plan accordingly for large volumes of guests.
Event Management and Logistics:
- The event will happen rain or shine. In the case that a scheduled shift is canceled due to inclement weather, refunds will not be offered.
- The Event Manager may expand or change the program based on demand or by the request of the client (Gen Con).
- Public Safety officials (IMPD) will be on duty for the duration of the event.
- Marion County Public Health Department will be on duty during the event.
- Emergency procedures are established for the event and will be distributed to all participants.
- A clean zone will be in place for the event times. Information on the clean zone can be found at www.indy.gov/activity/special-events-permits
- Hot dog cart vendors will be allowed to operate as usual.
